Choosing an airport transfer in Sri Lanka: what to confirm

Vehicle space, pickup instructions and the complete quote: the details that make an airport transfer easier to arrange.

When you compare airport transfers, start with the journey you actually need. Passenger numbers, luggage, arrival time and the final address matter more than a vehicle label or a headline price. A clear written booking helps both you and the driver prepare.

Send one complete journey brief

Provide the airport, flight number, arrival date and time, number of passengers, luggage count and exact destination. Specify whether the time is the flight’s scheduled landing time or the time you expect to leave the terminal. Include a working contact number and your preferred communication method.

For a return booking, describe the return journey separately. An early departure, a different pickup address or additional stops can change the arrangements. Avoid assuming that the outward booking automatically includes the return.

Check the vehicle against your luggage

Ask for confirmation that the offered vehicle can accommodate your group and bags together. A car’s passenger capacity does not explain how much luggage fits in its boot. Mention large suitcases, pushchairs, sports equipment or bulky items before accepting the quote.

If you need a child seat or accessible transport, describe the requirement clearly and ask the provider to confirm the exact arrangement. Do not rely on a generic facilities icon.

Ask for the complete price

Request an itemised explanation of what the quote includes. Useful questions cover parking, tolls, waiting time, additional stops and any late-night charge. Confirm the currency, payment method, deposit requirements and whether the balance is due before or after the journey.

A lower initial quote can be difficult to compare with an inclusive offer. Put both into the same checklist before choosing, and keep a copy of the agreed terms.

Understand the pickup plan

Ask where the driver will wait, how you will identify them and what happens if your flight is delayed. Confirm who to contact if you cannot find each other. If you will not have mobile data on arrival, save the instructions and contact details before travelling.

Your confirmation should include

  • Flight details and destination address.
  • Vehicle and luggage capacity.
  • Pickup point and driver contact process.
  • Total price and payment arrangement.
  • Waiting, cancellation and change terms.

Choose clarity over promises

A provider who answers practical questions consistently is easier to work with than one who offers only a broad promise of a luxury or hassle-free trip. Look for relevant, recent customer feedback, but also examine how the business responds to specific questions about your own booking.

Before you set off, double-check the destination with the driver. For a longer journey, discuss any rest stop and allow flexibility for traffic and conditions. Travel-time estimates are planning aids, not guaranteed arrival times.
